Conference registration: what should happen after the form?
Taking registrations is only the start. Your team also needs to know who has paid, which ticket they hold and whether they have arrived.

For a small free event, a form and a managed guest list may be enough. When you add paid places, different ticket types or several event days, connect registration, payment and arrival in one participant record. That gives reception an answer without searching through email threads.
The best registration experience works for the person arriving and the team welcoming them.
Connect three parts of the participant journey
A clear handover matters more than another spreadsheet.
The right participation
Let guests choose the appropriate ticket, such as a member rate or day pass. Collect the details needed for that choice, without unnecessary fields.
A confirmed payment
Keep pending transfers separate from confirmed payments. Connect billing details and document status to the registration, with staff approval where your process needs it.
A usable entry pass
Send a personal ticket with clear arrival instructions. At reception, check its validity and record attendance rather than treating any readable QR as permission to enter.
Decide the exceptions before the doors open
For example, a Friday pass should not silently become a full-conference pass on Saturday. Agree how staff handle the wrong day, an already-used ticket, a missing confirmation or a last-minute registration. Give authorised reception staff a participant search and a clear escalation route. Test the actual phones and venue connection before opening.
Budget for the event, not just the form
Compare setup or development, platform charges, payment fees, billing connections, staff training and event-day support. An existing platform may fit straightforward ticket sales. Custom work becomes useful when participation rules, business systems or reception workflows do not fit standard tools. Keep the essentials connected before adding optional features.
Akoustiki 2026: from registration to reception
For Akoustiki 2026, we brought together the event website, participant registrations, payments, billing, personal QR tickets and three-day attendance management. The organising team can follow the same participant through these stages, with staff controlling payment confirmation and reception decisions where needed.

01Do we need custom software for every event?+
No. Start with your ticket types, payment process and reception needs. Choose existing tools when they fit; consider custom development for the gaps that matter.
02Can reception use phones to scan tickets?+
Yes, with a compatible scanning setup. Test camera access, ticket readability and connectivity, and agree a fallback process before the event.
03Are registrations the same as attendance?+
No. Keep registered, paid and checked-in participants distinct. They answer different questions for finance, reception and planning your next event.
