Can an AI chatbot answer using your business's own information?

A useful website assistant should know your services, explain the next step and recognise what needs a person. That starts with the information you give it.

Yes. An AI assistant can use selected website pages, FAQs and approved documents to answer business questions. Start with a defined service and the questions customers actually ask. Plan how information stays current and how an unanswered question reaches your team, with enough context for a useful reply.

Better answers start with better business information.
Practical framework

Choose what the assistant should know

Different information needs different handling.

01

Public answers

Give it clear service descriptions, areas covered, opening hours and approved FAQs. Remove conflicting versions and outdated offers before making them answer material.

02

Changing facts

Prices, stock and appointment availability need current information. Agree where each answer comes from and when a member of your team must confirm it.

03

What stays private

Keep internal margins, staff files and customer records out of the public assistant's answer material. Treat any private account service as a separate, controlled workflow.

Prepare the content first

Start with the questions your team answers every week

An old brochure and a newer service page can give different answers. Decide which version is authoritative and turn repeated explanations into short, clear FAQs. For example, a service business can explain its coverage area and appointment process, then collect an enquiry when the visitor needs a tailored quote. The assistant should make that next step easy.

Plan the ongoing work

An answer from a page is not a live availability check

Reading a product page does not automatically connect the assistant to stock, bookings or account information. Add those connections only when they serve a clear customer need. Budget for content preparation, updates, usage and support. Test real questions, including unclear requests, and review unanswered conversations so the service improves after launch.

A connected customer journey

Bautherm: website, chat and business follow-up

At Bautherm, we connected the website, agent chat support, calls and CRM workflows. The project brings customer questions and the team's follow-up into the same business experience.

Questions people ask

Clear answers, without the jargon.

01Do I need to train a new AI model?+

Usually not. An assistant can use selected business content without building a model from scratch. The work is choosing, organising and maintaining that content.

02Can we start with only part of the website?+

Yes. Start with one service and a small set of common questions. Expand when the answers and enquiry handover work well.

03Who keeps the answers current?+

Name someone in the business to approve changes, with technical support for updates and connections. Include review time and running costs in the scope.
